Terms
Last updated: 10 October 2026
These terms apply to ClubScheduler — the software clubs and academies use to plan lessons, sign members up and send invoices — and to this website. They are written to be read: if anything here does not match what the software does, tell us and we will put it right.
ClubScheduler is registered with the Dutch Chamber of Commerce (KvK) under number 42184246 and is based in the Netherlands.
You can reach us through the contact form on this site.
Our customer is the club or academy. What it pays, from when and for how long is set in a written agreement between the club and us.
Staff, coaches, players and parents use ClubScheduler through their club. If that is you, your club decides what is recorded about you and who can see it; our privacy statement explains how we handle it.
You sign in with a link or a code sent to your e-mail address; there is no password. Keep access to that mailbox to yourself.
The club decides who has access and in which role — admin, coach or member — and can change or end that access at any time.
Use it to run your club, and only with information you are allowed to share.
Do not try to reach data that is not yours or your club’s, to disrupt the service, or to copy the software.
Everything a club records belongs to the club. We process it on the club’s instructions, under a processing agreement, and as our privacy statement describes.
A club that leaves receives a complete copy of its data first. Its database is then locked for thirty days and deleted.
Members pay their club, never us. A payment goes to the club’s own account — by card through the club’s payment provider, or by transfer — and ClubScheduler does not hold a club’s money at any point.
The club sets its prices, its VAT and its refund policy, and is responsible for them.
A club can connect its own QuickBooks Online company, payment provider or WhatsApp number. Those services have their own terms, which apply between the club and that provider.
We send each service only what the connection needs — for QuickBooks: the club’s invoices, with the payer’s name and e-mail address — and a club can disconnect at any time under My Club.
Fees are as agreed in writing with each club. Players and parents never pay ClubScheduler anything.
We work to keep ClubScheduler available and to announce maintenance ahead of time. Software changes; when a change affects how a club works, the club hears about it before it happens.
ClubScheduler is a planning and administration tool; the club remains responsible for its lessons, its members and its bookkeeping.
Our liability is limited to direct damage, up to what the club paid us in the twelve months before the damage occurred. This does not limit liability for intent or deliberate recklessness, or for anything else the law does not allow to be limited.
A club can stop as its agreement says. A member’s access ends when their club ends it.
These terms are governed by Dutch law. Disputes go to the competent court in the Netherlands, unless the law requires otherwise.
We publish changes on this page with a new date. Clubs hear about material changes before they take effect.
